Insurance
All Hirer’s must hold and maintain Public liability Insurance during the Term of use and submit a copy of their Certificate of Currency along with their application. Public liability insurance must incorporate the following terms:
- in respect of the Use Area and Permitted Use;
- for at least A$20,000,000.00;
- noting the interest of The Uniting Church in Australia Property Trust (NSW);
- waiving any claim by the insurer against UCA; and
- not making any exclusions, endorsements or alterations to the policies, or allowing them to be made, without the prior written consent of UCA.

Hire Agreement
A hire agreement is a written agreement stating the terms of use for the space for when the intended use or occupancy is for one off or infrequent/intermitted use of a Church facility, including but not limited to social functions, dramatic rehearsals/performances, award ceremonies, one off seminars or presentations, information evenings.
The maximum term of the Hire Agreement is 2 calendar weeks. For infrequent/intermitted use over a longer period, a separate Hire Agreement should be completed for each date that the church property will be hired. For more regular non-exclusive use of church property (e.g. weekly classes or meetings) please use the User Agreement.
This form may be signed by a Congregation Representative. Signed Hire Agreements must be provided to Finance and Property Services (FAPS).
User Agreement
A user agreement is a written agreement stating the terms of use for the space for when the intended use or occupancy is for short periods of time e.g. a couple of days, or a week.
User Agreements are to be used for regular or semi-regular use of a Church facility for a period of up to 6 months. Presbytery and Synod must be advised where it is intended that the User Agreement will be intended for a term of more than six months and/or the Church facilities will be occupied by the user more than three days per week. The maximum term of the User Agreement is 12 months (not including any option to renew).
This form may be signed by a Congregation Representative. Signed User Agreements must be provided to Finance and Property Services (FAPS).
The Uniting Church user agreement should not be used for long term or exclusive tenancies, residential purposes, or between other Uniting Church entities and they are not suitable for use by childcare operators.
If the property area address is utilised by the same user the next year, it would be best practice for there to be a two week break between agreements. This practice is acceptable for Community Groups for example an individual or special interest/community group that is running an event of obvious benefit to the community and whose primary concern is not to make a profit.
If there is no break between agreements & the property area address is continually used over a number of years, the UCA entity may need to enter into a licence agreement which would involve engaging a lawyer.
